Accumulated Trial Balance

The system has the ability to retain transactions for a period of one year. The use of this feature is optional. As you enter your company information, you will be asked if you wish to retain your transactions. If you take the option, all transactions for the month will be transferred to a special file at month end. Then at year end you can produce a trial balance on your General Ledger showing all activity for the entire year.

In determining whether or not to accumulate the transactions, you must decide if the time saved in analyzing accounts at year end is worth more than the time spent in producing the report. The report will be lengthy and you should already have a trial balance for each month that shows the same information.

If you take the option to retain transactions for the year, you can use Accumulated Trial Balance from the Annual menu to print a trial balance that shows all activity for the year. The beginning balance shown on this report will be the balance at the end of the previous year, or zero if no previous year end balance is available. This report can make it easy to analyze General Ledger accounts at year end.

 

The system needs to know the last balance sheet account in order to know which accounts should show beginning balances and which accounts should show zero as the beginning balance.

If you have only a few accounts that you wish to analyze, you can select the specific accounts that you want printed. This can save paper and print time.

You can print transactions for any month or you can enter 0 (zero) to print all months. As you can see, you can actually use this option to reprint a trial balance for any previous month. If you have chosen to select the specific accounts to be printed, you will enter the accounts one at a time until all accounts have been entered.

You will only answer the first and last account numbers if you have selected to print a range of accounts.
