Import from Time Clock System

The system will allow you to import hours from a time clock system. Most time clock systems are different in the way they export the hours worked. Most likely it will be necessary to have the ACS import time clock feature modified to match the way your time clock exports time or have the time clock system modified to match the way ACS imports time. A layout of the ACS file requirements is shown later in the section of instructions.

Once the interface has been made between the ACS payroll system and your time clock system, normal procedure for importing time would be to first export the time on the time clock system. Once that has been done, you would run this Import from Time Clock System option to read the time clock files and put them into a format that can be read by the Enter Time Sheet option on the ACS Payroll menu.

You will be asked the payroll date.

You will get a report of the hours worked as this program is running.

Once you have run this Import from Time Clock System option, you are ready to run the Enter Time Sheet option from the payroll menu. The first screen of the Enter Time Sheet program has an option to Pull from Time Clock system. Take this option and the time will be pulled into the Enter Time Sheet program just as if you had entered them by hand. If your salaried employees are not included in the time clock entries, you might consider assigning a unique Employment Status code to the salaried employees. As soon as the hourly people are calculated, you can run the Enter Time Sheet program a second time and choose to automatically calculate the salaried employees.

Following are the specifications for the file we would like to import. If you can get a file from your time clock system that meets these specs, you can begin importing time into the ACS system without having any changes made to the payroll system. If your time clock system cannot be changed to these specs, ACS can modify this Import from Time Clock option to match the specs on the file generated by your time clock system.

The file needs to be an ASCII (text) file. The file should be in C:\program files\acs\ and should be named timeclock.h1. All numeric fields should be right justified. The name can be any format..
